Missed call text back for contractors and med spas

When you can't answer the phone, an automatic text tells the caller you saw the call and asks how you can help. It is included in every KEM plan.

What missed call text back is

Someone calls your business number. Nobody picks up. A text goes to that caller within moments: we saw your call, here is who this is, what can we help with? The conversation starts instead of ending in voicemail.

It is built for people whose hands are busy. Nobody is ignoring the phone. They are working.

It does not replace a real callback. It buys you time and keeps the caller from moving on to the next name on their list. For the bigger picture, read what a missed call actually costs a home service business.

The flow

How it works, step by step

1

A call goes unanswered

You are on a job, with a customer, or the office is closed. The call rings out.

2

A text goes out

Within moments, the caller gets a short text naming your business and asking how you can help.

3

The caller replies

They tell you what they need, in their own words, whenever they are free.

4

You take over

You see the reply and answer by text, or call them back.

5

Opt-outs are honored

If someone texts STOP, texting to that number stops. Every message tells people how to opt out.

6

We test it first

Before launch, we check that the text actually fires.

Why speed matters

A person comparing options often talks first to whoever answers first. A text is also easier to answer than a voicemail is to leave: the caller can reply from a work break, a parking lot, or the couch.

We will not quote you a statistic about lost revenue, because we have not measured yours. An instant reply looks like a business that is paying attention, and a callback an hour later can arrive after the caller has found someone else.

Web forms work the same way. The speed-to-lead automations in Growth and Scale answer new form leads quickly, too.

Sample texts you can adapt

Contractor, during the workday

Hi, this is [Business Name]. Sorry we missed your call. We're on a job right now. What can we help you with? We'll text or call you back as soon as we can. Reply STOP to opt out.

Contractor, after hours

Thanks for calling [Business Name]. Our office is closed right now. Tell us what's going on and what town you're in, and we'll reply first thing in the morning. If this is an emergency, call 911. Reply STOP to opt out.

Med spa

Hi, this is [Med Spa Name]. We couldn't get to the phone just now. Reply with the best time to reach you, or request a consult at [booking link]. Please don't include health details in a text. Reply STOP to opt out.

Keep texts short, name your business, ask one question, and include the opt-out line. These are examples, not legal text.

Real situations

Three moments it covers

On the job

A roofer on a steep roof or a plumber in a crawlspace. The text goes out, and the customer replies when you take a break.

After hours

A burst pipe at night or an AC outage on a weekend. The text confirms you got the call and sets expectations for your reply.

A busy front desk

At a med spa, whoever answers the phone is often with a client. The text keeps the next inquiry from waiting until tomorrow.

Consent and opt-out, in plain English

Texting is regulated, and the rules depend on the kind of message. The TCPA is the main federal law behind many of them. We can't give legal advice, so check with your own attorney. Here is how we approach it:

  • Replies only to people who called you. Missed call text back answers a caller who just contacted your business. It is not a way to text people who never reached out.
  • Other texts need consent. Review requests, promotions, and reactivation campaigns go only to contacts who agreed to be texted. The Scale plan's quarterly reactivation campaign uses consented contacts only.
  • Every message says how to opt out. “Reply STOP to opt out” goes in the text. Common words like END, CANCEL, QUIT, and UNSUBSCRIBE should work too.
  • Opt-outs stick. Once someone opts out, texting stops, and nobody should add them back to a list.
  • Keep a record. Note how and when each person agreed to receive texts.

Extra care for med spas

A text is not a private channel, and that shapes the wording.

  • Leave treatment names and health details out of automated texts. “We saw your call” is enough.
  • Do not confirm whether someone is a patient. A caller could be a prospect, a patient, or a wrong number.
  • Invite callers to share a good time to talk or request a consult online, then handle anything personal by phone.

Your compliance advisor can review your wording. See more on marketing for med spas and aesthetics practices.

FAQ

Missed call text back questions

Does missed call text back replace answering the phone?

No. It keeps the conversation alive until you can call back or reply. You or your team still follow up.

Will it text people who never contacted me?

No. It only replies to people who called your business number. Marketing texts need separate written consent.

What happens when someone replies STOP?

Texting to that number stops. Every message includes the opt-out instruction, and we set up the system to honor STOP and similar words.

Do I need consent to text callers?

Rules depend on the type of message, and we can't give legal advice, so check with your own attorney. We keep missed-call replies to people who just called you and send other texts only to contacts who agreed.

Can a med spa use missed call text back?

Yes, with careful wording. Keep automated texts free of treatment names and health details, and move anything personal to a phone call. Your compliance advisor can review the wording.

Which plans include it?

Missed-call text-back and a website chat widget are included in Starter, Growth, and Scale.
